How this guide was made: Research-based. Prices and limits come from each vendor’s official pricing page, checked as of Oct 2026. We haven’t measured accuracy ourselves, so we don’t publish accuracy percentages except where a vendor guarantees one, and we label those as the vendor’s claim.

Quick picks

  • Best for live meeting notes: Otter.ai
  • Best value meeting notetaker for small teams: Fireflies.ai
  • Best if you’ll edit the recording: Descript
  • Best when accuracy can’t slip: Rev human transcription
  • Best if you already use AI voice tools: ElevenLabs Speech to Text

Two kinds of transcription job

  1. Meetings. A bot joins Zoom, Microsoft Teams or Google Meet, transcribes live, then summarises and lists action items. Otter and Fireflies focus here.
  2. Recordings. You upload a podcast, interview or video and want a transcript you can edit, quote or turn into content. Descript, Rev and ElevenLabs fit here.

Choose based on which you do more.

1. Otter.ai: best for live meeting notes

Otter joins Zoom, Microsoft Teams and Google Meet to transcribe and write notes, and it has iOS and Android apps for in-person recording.

Plans (as of Oct 2026):

  • Basic (Free): 300 monthly transcription minutes, live transcription, speaker identification, AI chat, and 3 lifetime audio/video file imports.
  • Pro: $16.99 per user per month on monthly billing. 1,200 in-app recording minutes, 10 monthly file imports, meetings up to 90 minutes, advanced search and export, and Salesforce, HubSpot and Zapier integrations. Otter advertises a discount for annual billing.
  • Business: listed at $30 per user per month on monthly billing, with unlimited meetings and up to 4 hours per meeting.

Otter lists AI transcription in English, Spanish, French, German, Japanese and Chinese. It also offers a 20% discount on Pro for students and teachers with a .edu email.

Watch out: the free plan’s 3 lifetime file imports make it unsuitable for transcribing uploaded recordings.

Try Otter.ai

2. Fireflies.ai: best value meeting notetaker

Fireflies is a meeting notetaker with a free tier and per-seat paid plans.

Plans (as of Oct 2026):

PlanAnnual billingMonthly billing
Free$0$0
Pro$10/seat/mo$18/seat/mo
Business$19/seat/mo$29/seat/mo
Enterprise$39/seat/mo (annual only)—

Fireflies lists unlimited transcription on paid plans and on Free, with a footnote, and limited AI summaries on Free. Fireflies says annual billing saves up to 44%.

Fit for: freelancers and small teams who live in video calls and want summaries pushed into their other tools. Watch out: check the Free plan’s footnotes on storage and AI summaries before relying on it.

Try Fireflies.ai

3. Descript: best when you’ll edit the recording

Descript transcribes your audio or video so you can edit the media by editing the text. For podcasters and video creators, the transcript becomes the editing tool.

Plans (as of Oct 2026): Free (60 media minutes/month), Hobbyist $16/mo annual or $24 monthly (10 media hours), Creator $24/mo annual or $35 monthly (30 media hours), Business $50/mo annual or $65 monthly (40 media hours).

Descript lists transcription in 25 languages, speaker detection for 8+ speakers, multitrack transcription and a transcription glossary on higher plans for custom terms.

Watch out: Descript counts media hours, meaning everything you import or record, not just what you transcribe.

Try Descript

4. Rev: best when accuracy can’t slip

Rev offers AI transcription subscriptions, which it now positions mainly for legal and investigative teams, and pay-per-minute human transcription.

Human transcription (as of Oct 2026): $1.99 per minute. Rev’s claim is 99%+ accuracy, delivered in 12 hours or less, with rush, timestamp and verbatim options. Human captions are also $1.99/min.

Fit for: published interviews, research quotes or anything where a mistranscribed word is costly. Watch out: at per-minute rates, an hour of audio costs about $119.40 for human transcription. Use it selectively.

5. ElevenLabs Speech to Text: transcription inside an audio toolkit

If you already use ElevenLabs for voiceover, its Speech to Text draws from the same credit pool. ElevenLabs lists Speech to Text at 330 credits per minute. On Starter ($6/mo, 30k credits) that’s roughly 90 minutes if you spent every credit on transcription; on Creator ($22/mo, 121k credits) roughly 366 minutes. Credits are shared with text-to-speech, so in practice you’ll get less.

See the ElevenLabs review for how the credit pool works.

Turning transcripts into content

Transcripts are raw material. A one-hour interview can become a blog post, a newsletter issue and several social clips. Pair your transcription tool with:

Meeting bots record other people. Tell participants you’re recording, check local consent laws, and review each vendor’s data-retention and AI-training settings before you transcribe client calls.

FAQ

What is the best free AI transcription tool? For meetings, Otter Basic gives 300 transcription minutes a month as of Oct 2026. For uploaded files, Descript’s Free plan includes 60 media minutes a month.

Is AI transcription accurate enough to publish? It depends on audio quality, accents and jargon. For published quotes, review the transcript yourself or use a human service like Rev.

Can these tools transcribe languages other than English? Yes, with different coverage: Otter lists six languages and Descript lists 25. Check the vendor’s list for your language.

Bottom line

For most solopreneurs, a meeting notetaker (Otter or Fireflies) or an editor-first tool (Descript) covers the majority of transcription needs. Start on a free tier, note which limit you hit first, and upgrade only that tool.
